We are seeking an experienced and skilled professional to join our team as an Office Operations Manager. The successful candidate will be responsible for providing exceptional support to our school community, ensuring seamless day-to-day operations, and delivering high-quality administrative services.
A key aspect of this role is supporting the daily running of the school, with a focus on administration and logistical processes. This includes participating in key projects and processes, reporting directly to the Headteacher, and collaborating with the leadership team.
Responsibilities include :
Providing a warm welcome to visitors, aligned with our values and prioritizing customer service.
Maintaining a professional appearance at all times, representing the first point of contact for the school.
Performing standard receptionist duties, including visitor registration aligned with safeguarding processes.
Assisting with compliance regarding fire drill registers.
Providing assistance via telephone, email, and face-to-face to students and families.
Managing deliveries for the school.
Liaising with external providers for school events and trips.
Handling inquiries from the public regarding admissions.
Additional administrative tasks include :
Organizing and scheduling meetings and appointments.
Taking minutes during meetings.
Assisting the Headteacher in organizing school events.
Sending weekly communications to families and staff.
Monitoring and reporting on daily attendance.
Supporting publications such as the parent and staff handbook and school policies.
Assisting with beginning and end of term activities, including inductions.
Monitoring and reporting incidents involving students, staff, and parents.
Undertaking PA duties, including managing the Head’s diary, refreshments, emails, and newsletters.
Supporting the school’s MIS for data processing, analysis, and entries.
Assisting with designing and issuing students’ progress reports.
Preparing for public examinations alongside the Exams officer and Deputy Head.
Participating in major school events, including occasional late evenings.
Additional responsibilities include :
Managing printing, photocopying, and stock inventory.
Securing quotes from providers.
Overseeing first aid training compliance.
Supporting document management in electronic systems (scanning, uploading, requests).
Maintaining an organized and calm office environment.
