Job Overview :
We are seeking an organized and detail-focused Administrative Coordinator to support our administrative operations. This role will contribute to our mission of promoting sustainable energy solutions by handling various tasks related to delegation management, property maintenance, and office duties.
Key Responsibilities :
- Delegation Support :
- Prepare agendas and provide information before arrival.
- Arrange transportation, accommodations, and dining arrangements.
- Coordinate with relevant departments during delegations' stay in Europe.
- Process reimbursements and manage budgets.
- Record and archive information after delegations' reception.
- Property Management :
- Search for suitable properties when necessary.
- Negotiate rental terms with real estate agencies or landlords.
- Coordinate contracts and payments with departments.
- Liaise with cleaning services to ensure hygiene and cleanliness.
- Assist in reimbursement processes.
- Qualifications :
- Degree in Communication, Administration, or equivalent work experience.
- Fluent in Chinese, Spanish (C1), and English (C1).
- At least 2 years of experience in a related position.
- Intermediate to Advanced level of proficiency in Windows OS and MS Office Suite.
- Problem-solving, critical thinking, and teamwork skills.
