About the Role
We’re looking for a People Coordinator to manage our People operations in Spain : someone who combines organisation, empathy, and ownership to make sure every process and employee interaction runs smoothly. You’ll own the day-to-day People operations in Spain : contracts, onboarding, payroll inputs, employee queries, the full employee journey. You’ll make sure everything runs smoothly, accurately, and with care.
This role also includes light office coordination : keeping our Madrid hub functional, connected, and a place people enjoy coming to - from organising small team breakfasts to making sure the space just works. You’ll work closely with our People teams in Nigeria, South Africa, UK and Malta, aligning processes and sharing best practices, while being the go-to person for everything People in Spain.
What You’ll Do
People Operations & Compliance
- Keep HR systems and employee records accurate and compliant.
- Manage the full onboarding and offboarding process : contracts, documentation, induction coordination.
- Prepare monthly payroll inputs with Finance.
- Coordinate benefits (Alan insurance, leave, events, etc.) and handle employee queries.
- Ensure compliance with Spanish labour law and internal policies, maintaining documentation for audits.
- Support visa, relocation, and other employment administration as needed.
- Manage probation tracking and performance cycle logistics.
Employee Support & Experience
Be the first point of contact for employees in Spain, solving issues quickly and with empathy.Help deliver engagement and wellbeing initiatives that reflect our CROWNS values.Support communication and feedback processes across the team.Act as a connector : between people, processes, and information.Office Coordination
Keep the Madrid hub organised, stocked, and running smoothly.Coordinate office breakfasts, small events, and team meetups.Handle vendor coordination when needed (supplies, cleaning, maintenance).Collaboration & Alignment
Work closely with other People Coordinators and People Partners to ensure global consistency.Support global reporting, surveys, and employee data updates.Be a reliable link between People, Finance, and local employees.Bachelor’s degree in Human Resources, Business Administration, Psychology , or a related field.Around 3–4 years’ experience in a People Specialist / HR Administration / HR Generalist role.Solid knowledge of Spanish employment law, contracts, and compliance.Proven experience with payroll coordination and employee documentation.Confident handling employee queries and relations topics with discretion and professionalism.Experience working in an international or fast‑paced environment.Fluent in English and Spanish.Excellent attention to detail, organisation, and follow‑through.Tech‑savvy and comfortable with HR systems (Workable, HiBob, Workday, Personio, Factorial, etc.).You’re approachable, calm under pressure, and always find a way to get things done.Who You Are
