Swish Marbella is a leading luxury short-term rental brand with a curated portfolio of high-end villas and apartments. We are seeking an Operations Coordinator to ensure our homes are consistently guest-ready and maintained to the highest standards.
🔑 Role Purpose
The Operations Coordinator will oversee inspections, maintenance, and guest satisfaction processes, acting as the link between property owners, service providers, and the guest experience team.
🏡 Core Responsibilities
Property Management & Inspections
- ️ Conduct regular property checks (pre-arrival, mid-stay, post-stay)
- ️ Identify and resolve maintenance, safety, or presentation issues
- ️ Guarantee that every home meets Swish’s luxury brand standards
Maintenance & Repairs
️ Manage preventive maintenance schedules (AC, pool, gardens, appliances)️ Coordinate contractors and suppliers, ensuring quality and timeliness️ Keep accurate maintenance logs and handle urgent repairs swiftlyHousekeeping & Logistics
️ Oversee housekeeping schedules and turnovers️ Ensure immaculate cleaning, linen, and presentation standards️ Liaise with cleaning and laundry teams to meet tight deadlinesGuest Experience
️ Ensure properties exceed expectations on arrival️ Act as operational support for any in-stay issues️ Monitor guest feedback to continuously improve standardsDamage & Inventory Management
️ Conduct check-in / out inspections and manage damages️ Track and replenish consumables and luxury amenitiesOperational Systems & Processes
️ Create SOPs, workflows, and checklists for efficiency️ Update PMS / CRM with operational data and reports️ Ensure compliance with safety regulations and brand standardsSupplier & Contractor Management
️ Maintain strong vendor relationships (maintenance, linens, pool, gardens)️ Negotiate rates and service agreements to ensure quality and cost efficiencyReporting & Continuous Improvement
️ Deliver regular reports on property condition, spend, and guest feedback️ Suggest improvements to streamline operations and enhance satisfaction🎯 Skills & Experience
Proven experience in hospitality operations, property management, or luxury STRStrong organizational skills and attention to detailExperience managing housekeeping, maintenance, and suppliersProactive, solution-oriented, and calm under pressureExcellent communication in English (Spanish desirable)Driving license and flexibility to travel between properties in Marbella💎 Personal Attributes
