Position Overview We are seeking a professional, detail-oriented, and bilingual in English / Spanish (Intermediate Level of English required as a minimum, desired Proficiency Certificate in Cambridge) individual to join our team in a multi-functional role. This position combines responsibilities in front desk reception, office management, administrative support, and supporting our staff scheduling. The ideal candidate will be the face of the organization—friendly, efficient, and capable of keeping our office and people operations running smoothly.
The role will suit candidates who can work from Monday to Friday full-time on a day shift, typically starting at 9 : 00am - 5 : 30pm. This is an onsite role, your presence in the office will be required on a daily basis.
Our office is located in Alvento Business Park, Vía de los Poblados, 1-3 28033, Madrid.
Key Responsibilities Reception & Office Management
Welcome and assist visitors and manage front desk communications in both English and Spanish
Maintain a tidy, organized, and welcoming reception area and common office spaces
Coordinate meeting room schedules and assist with setup for meetings or company events
Manage mail, courier services, and general office deliveries
Liaise with vendors and service providers for facility-related needs (cleaning, maintenance, repairs)
Order and manage office supplies, ensuring adequate stock is maintained
Administrative & Scheduling Support
Serve as a point of contact for internal staff and external inquiries in both languages
Schedule staff shifts based on Management requests
Support onboarding for new hires, including scheduling orientation sessions
Prepare and translate documents, reports, or internal communications as needed
Requirements Fluent in both English (as above) and Spanish (written and verbal)
Proven experience in office administration, receptionist duties, or scheduling coordination
Strong organizational skills with attention to detail and accuracy
Ability to prioritize tasks, multitask, and remain calm under pressure
Proficient in Microsoft Office and / or Google Workspace; scheduling tools (e.g., Calendly, Outlook, Excel or HR platforms)
Excellent interpersonal skills with a customer service mindset
