Job Description
The Gasoil Operator (temporary position) will support the Spain Distillates desk in the execution of day-to-day operational tasks, including managing truck orders, stock reconciliation, transaction processing, and client / broker communications. The role requires close collaboration with traders and internal teams to ensure smooth, accurate, and compliant operations while contributing to process improvements and team training initiatives.
Key Responsibilities
Process Execution
Carry out day-to-day operational tasks for deals related to Spain Distillates desk.
Adhere to terms stipulated by the traders to ensure accurate and efficient execution of contracts.
Monitor workflows, identify issues, and implement solutions to improve efficiency.
Daily Stock Reconciliation
Perform daily stock reconciliation to ensure that all stock movements are accurately recorded.
Identify and resolve discrepancies in stock balances, liaising with relevant teams as necessary.
Linking in BS
Ensure proper linking in internal tools for accurate transaction processing and record-keeping.
Maintain data integrity and ensure correct linking of transactions and stock movements.
Ensure accurate alignment between stock data recorded in Terminal systems and the internal tool inventory management platform.
Client and Broker Communication
Directly communicate with clients and brokers to address queries, provide updates, and ensure smooth operational processes.
Act as the first point of contact for operational issues and maintain strong professional relationships with external partners.
Learning & Development
Prepare, and present training and development materials, teaching others, and facilitating learning.
Help assess and recommend training needs for individuals in coordination with the Team Lead or RoM, facilitating new starter training.
Truck Order Management and Process Leadership
Take ownership of daily truck order processing, ensuring accurate and timely entry, coordination, and execution of all orders.
Act as the primary point of contact for single truck order management within the team, ensuring operational excellence and continuous process improvement.
Collaborate cross-functionally with relevant departments to guarantee seamless order fulfilment and resolve any operational bottlenecks.
Lead the onboarding and training of new team members in truck order procedures, with a particular focus on FCA nominations and associated workflows.
Serve as a subject matter expert and process lead for FCA-related operations, driving consistency and best practices across the team.
Play an active role in the development and implementation of internal optimization project system by conducting structured testing of new features, identifying areas for enhancement, and supporting the rollout of efficient, standardized processes across teams.
Credit Line Reconciliation
Reconcile credit lines with the credit team and communicate it to clients to ensure that credit limits are properly assigned, tracked, and adjusted.
Management of Trigger Price-Based Clients
Manage clients who are based on trigger prices, ensuring triggers are correctly set and monitored.
Handle any adjustments to trigger prices and ensure clients are informed and updated as necessary.
Transaction Processing
Conduct a thorough review and approval of commodity and service invoices in BS.
Ensure all transactions comply with internal and regulatory guidelines.
Issue Management, Reporting & Resolution
Concise, clear and prompt escalation of Operational issues to Team Leader & RoM / CoM.
Ensure management has full awareness of all critical matters in a timely fashion.
Issues to be recorded within max 1 working day of identification.
Required Skills and Qualifications
In-depth knowledge of all operational processes related to single truck orders within the Spanish national market. Demonstrated proficiency in customer and destination registration workflows, including tax-specific requirements and regulatory nuances. Strong familiarity with terminal operations and the ability to independently resolve issues involving brokers or clients, ensuring seamless execution and high service standards.
Solid knowledge of ETRM / CTRM, with the confidence to navigate and utilize its functionalities effectively in daily operations.
Basic knowledge of Sustainability processes such as the Issuance and Reconciliation of Sustainability Certificates.
Ability to multitask and prioritize effectively in a dynamic environment.
Strong communication and interpersonal skills, with the ability to work collaboratively across departments.
Proficiency in English and Spanish is required. In cases where a candidate does not meet the minimum English proficiency level upon hiring, it is a condition of employment to achieve at least a B1 level within the first year of the contract and progress to a B2 level by the end of the second year.
Preferred Skills
Experienced in vessel cargo operations interacting with ports / terminals, agents, cargo inspectors, vetting, chartering, ship shore compatibility, blending, circulation, internal transfers, pipelines and international legal restrictions.
Knowledgeable of commodities, components and grade specifications, bulk product storage, product blending, inspection procedures, laboratory precision, and product regulatory compliance.
Knowledge of cargo shipment procedures, policies and industry standards, shipment regulations, truck, rail, pipeline and maritime technical terminology, as well as relevant transport laws and the impact on oil movement operations.
Familiarity with data visualization and productivity tools, specifically Power BI, Microsoft Excel, and PowerPoint, is required to support reporting, analysis, and effective communication of operational insights.
