Overview
Back Office Manager responsible for ensuring the efficient operation of internal company processes. Supervises all administrative, support and operational activities that facilitate transactions and processes. Leads the back office team and ensures compliance with internal policies, optimizing processes for customer satisfaction and organizational growth.
Responsibilities
Supervise and coordinate the daily activities of the back office team, ensuring operational efficiency and adherence to deadlines.
Manage and organize documentation and electronic files related to internal operations and clients.
Provide administrative support to the sales, human resources, and operations departments, among others.
Oversee quality control processes and ensure correct execution of retention and transaction completion tasks.
Maintain updated records of clients, contracts, and transactions, especially related to the real estate rental and sale sector.
Manage relationships with internal and external suppliers and clients, ensuring clear and effective communication.
Develop and apply standard operating procedures for continuous improvement.
Identify areas for process improvement and work with other departments to implement solutions.
Oversee data entry and ensure correct implementation of information management systems.
Qualifications
University degree in Business Administration, Law, Economics or related field.
1-2 years of experience in a back office or administrative role, preferably in real estate.
Practical knowledge of administrative processes in the real estate sector (rentals, purchases, deposits, utilities, insurance).
Strong organizational skills and ability to manage multiple tasks simultaneously.
Excellent verbal and written communication skills.
Ability to work independently and as part of a team.
Proficiency with computer tools (MS Office, real estate management software).
