Virtual Concierge Representative (Spain Operations)
Location : Remote, based in Spain
Compensation : Monthly $1500-$2500
Overview
The Virtual Concierge is the digital center of LuxNomad’s 5 Star Experience. This role keeps clients supported, informed, and cared for throughout their relocation and ongoing life in Spain. You will be the steady point of contact guiding clients through their logistics, their milestones, and their first year in a new country. You will also work closely with our operations and on-the-ground teams to keep the entire client journey running smoothly.
We are hiring someone who is currently living in Spain. You can be a long-term expat or someone who has spent most of your life here, but active residency is non-negotiable. This role requires real familiarity with Spanish culture, the pace of life, how systems work, and how people interact. You should bring a background in luxury concierge service, high-touch hospitality, or travel, where delivering thoughtful, seamless experiences is second nature.
Key Responsibilities
Client Support and Experience
- Serve as the main point of contact for annual membership clients and post-arrival support.
- Communicate with clients through Slack, email, and client portals.
- Anticipate needs and offer proactive guidance, resources, or recommendations.
- Manage all pre-arrival and post-arrival logistics in collaboration with Relocation Success Managers and On-The-Grounds teams.
- Deliver virtual support that consistently reflects LuxNomad’s 5 Star standard.
Operations and Documentation
Prepare welcome materials, digital guides, and event invitations.Maintain accurate client information across Salesforce, Notion, and shared trackers.Provide service summaries, internal briefs, and logistics confirmations for On-The-Grounds teams.Track event RSVPs, feedback, and engagement for reporting.Support leadership with delivery quality checks and KPI visibility.Community and Events
Coordinate virtual and in-city events with the On-The-Grounds team.Manage guest lists, communication plans, and calendar invites.Ensure timely follow-up after each event.Collect photos, stories, and testimonials for internal and marketing use.Continuity Program Delivery
Own ongoing touch points with Continuity memberships.Run monthly check-ins with updates, resources, and upcoming events.Track client goals, renewal indicators, and satisfaction insights.Coordinate with tax and legal partners for annual renewal milestones.Cross-Functional Collaboration
Work daily with Relocation Success Managers, On-The-Grounds teams, attorneys, and concierge staff to support client transitions.Escalate urgent or complex issues quickly and appropriately.Join weekly team syncs and contribute to service improvement initiatives.Qualifications
Required
3 or more years in customer success, operations, or hospitality support.Experience in luxury service, high-touch travel, or concierge environments.Strong written and verbal communication in English.Conversational Spanish is helpful but not required.Ability to stay organized, juggle competing priorities, and manage details well.Experience with Google Workspace, Notion, Slack, and CRM tools. Salesforce preferred.Comfort working independently in a remote environment while collaborating with a global team.Preferred
Understanding of relocation to Spain or supporting expat clients.Experience working across both virtual and in-person support teams.This position will be structured as a 1099 contractor role due to its location in Spain, though compensation will be provided as a fixed monthly amount.
