Process & Projects Manager — RIVA (Real Estate Development)

Our client, RIVA Balear, is a real estate development company in Palma, Mallorca, that is scaling fast. RIVA is a growing real estate development company in Palma, Mallorca - and is looking for someone to build the processes, tools and project frameworks that enable the company to scale.

Purpose & role

To design, improve and build the processes, tools and project frameworks that RIVA — a real estate development company — needs as it professionalizes and scales. The role creates new processes and delivers the projects that bring them to life, then hands them over to the teams who will run them day to day.

Sits at the intersection of process design and project delivery, translating Management's priorities into working systems. Serves as the principal link between Management, office and site teams, and external consultants throughout that design-pilot-embed cycle.

Areas of responsibility

Process & Systems Design

• Diagnose current workflows across the company and identify inefficiencies and gaps.
• Design, build, document and pilot new end-to-end processes (e.g. procurement, logistics, project workflows).
• Select, configure and roll out the digital tools that support new processes, and drive initial adoption.

Project Delivery

• Manage assigned projects from scoping through completion, coordinating stakeholders across office and site.
• Track milestones, budgets and risks, and report progress to Management on a regular basis.
• Maintain clear, current project and process documentation.
• Train and upskill teams on new tools, processes and adjustments as they are introduced.

Technology & Continuous Improvement

• Identify and pilot AI and automation opportunities that reduce manual work across the company.
• Build the foundations of the company's digital infrastructure for others to maintain and scale.

• Day-to-day adjustments to tools and processes already in place, to keep them working effectively.
• The methods and approach used during implementation.

Requires approval for

• Tool or software purchases.
• Significant changes to established processes.

Performance indicators

• Process and tool implementation delivered on time.
• Projects delivered on schedule and on budget.
• Reduction in manual and administrative workload through automation.
• Adoption of new tools and processes across the team.

Experience & education

• Track record of building a process or workflow from scratch and getting it adopted, in any operationally complex industry — real estate experience is an advantage.
• Strong process/systems thinking — able to turn an unstructured, undocumented workflow into a clear and efficient process.
• Project management experience, certification is an advantage (e.g. PMP, PRINCE2 or equivalent).
• Hands-on experience implementing an ERP or similar operational system is a plus.
• Capable of building or adopting AI and automation tools.
• Execution with ownership, able to move fluidly from plan to hands-on delivery, with attention to detail and a bias for action.
• Solution-oriented — proactively identifies practical fixes and sees them through to implementation.
• Comfortable operating with a degree of ambiguity, in a small, fast-moving organization.
• Skilled at liaising with multiple stakeholders across different teams.
• Fluent Spanish and English.
