Role Overview

We are seeking a highly organized, proactive, and service-oriented professional to support the Western Europe Committee Chairman while also contributing to the smooth coordination of team activities and logistics across the region.


This role combines high-level executive assistance, strategic coordination, and operational/logistical support, requiring strong multitasking abilities, sound judgment, and the ability to operate effectively in a fast-paced, international environment.


Key Responsibilities
Executive & Strategic Support to the Western Europe Chairman


  • Provide high-level administrative and strategic support to the Western Europe Committee Chairman
  • Manage complex calendars, scheduling meetings, appointments, and extensive travel arrangements
  • Manage budgets, expenses, and administrative processes (e.g., invoices, approvals) for the Western Europe Committee Chairman
  • Prepare and review presentations, reports, and briefing materials for executive meetings and decision-making
  • Support the development and tracking of strategic plans, roadmaps, and key regional priorities
  • Conduct relevant research and analysis (market, stakeholder, internal) to support planning and decision-making


Stakeholder & Communication Management


  • Act as the main point of contact between the Chairman and internal/external stakeholders (clients, partners, etc.)
  • Manage communications including emails, calls, and correspondence with a high level of professionalism
  • Support internal communication initiatives


Committee & Team Coordination


  • Coordinate Western Europe Committee scheduling meetings and logistics
  • Coordinate events, workshops, and regional meetings, ensuring seamless organization
  • Facilitate communication and alignment across multiple countries and teams
  • Support the Executive Committee of the European Platform based in Barcelona with scheduling meetings, agenda preparation and action follow-up


Additional Responsibilities


  • Handle confidential and sensitive information with the highest level of discretion
  • Support daily operations and contribute to ad hoc projects and cross-functional initiatives
  • Identify opportunities to improve processes and enhance team efficiency


Profile & Qualifications
Experience


  • Minimum 7+ years of experience as an Executive Assistant, Project Coordinator, or in a similar role
  • Proven experience supporting senior executives or leadership teams in an international environment
  • Strong background in logistics, event coordination, and stakeholder management

  • Excellent organizational and multitasking abilities

Languages


  • Fluent French (mandatory)
  • Spanish (nice to have)


Technical Skills

Strong proficiency in Microsoft Office Suite, including:



  • Outlook (calendar and email management)
  • Teams (communication and collaboration)
  • PowerPoint and Excel (reporting and presentations)
