Summary
The Academic Assistant plays a key role in supporting IES Abroad Madrid students throughout their academic experience. Serving as a primary point of contact, the assistant provides individualized academic advising, helping students select courses aligned with their academic objectives and personal interests. The role also supports the broader academic operations of the center, ensuring that all processes run smoothly and efficiently.
Working closely with Academic Coordinators, the Head of Academic Processes, and the Dean of Faculty, the Academic Assistant contributes to the planning, coordination, and monitoring of academic activities. This includes organizing course schedules, managing classroom allocations, coordinating meetings between faculty and students, and maintaining accurate academic records, internships, etc. The assistant also collaborates with program coordinators to support semester events and academic initiatives that enrich the student experience.
Key Responsibilities
Academic advising and student support
Serve as the first point of contact for students, offering guidance on course selection, academic expectations, and study skills.Advise students facing academic challenges, identifying resources and strategies to promote success.Conduct follow‑up meetings and generate reports on student progress.Foster an inclusive, supportive, and welcoming environment for all students at the Madrid Center.Provide guidance to students pursuing internships, helping them understand expectations, navigate the placement process, and address academic implications, while also serving as a point of contact between students and host companies to ensure clear communication and successful internship experiences.Academic coordination and administration
Support the Academic Coordinator and Head of Academic Processes with day‑to‑day academic operations.Assist in the organization of the academic calendar, course planning, and classroom scheduling.Coordinate meetings between students, faculty, and staff, ensuring clear communication and timely follow‑up.Maintain academic documentation and databases, ensuring accuracy and consistency across systems.Collaborate with the academic team in organizing semester activities, workshops, and academic events.Cross‑departmental and seasonal support
During periods of low activity in academic advising, assist with other administrative duties within the academic department (e.g., data management, communications, scheduling, or logistics).Coordinate and update academic records.Participate in student orientation and arrivals, assisting in welcome sessions, check‑ins, and course registration processes.Offer in‑person and online advising to both current students on‑site and future students requiring academic guidance prior to arrival in Madrid.Participate in a rotating duty schedule to provide 24‑hour emergency coverage.Provide supervision and support during student trips.Qualifications and Skills
Advanced degree in a relevant field (Master’s preferred, but not required).Experience in higher education, particularly in academic advising or student support (preferred).Familiarity with both the Spanish and U.S. educational systems (strongly).Excellent communication and mentoring skills, with the ability to guide students through academic challenges.Strong organizational and administrative abilities, with attention to detail and accuracy.Fluency in English and Spanish, both written and spoken.Strong command of Microsoft Office applications, particularly Excel, with the ability to manage data, generate reports, and support administrative processes efficiently.Our Culture
