The Travel, Expense, Events, and Communications Support Specialist will be responsible for assisting in the implementation and administration of a new corporate travel and expense management tool, while also managing the current tool during the transition. This role involves providing technical support, user training, coordination with IT teams, and communication with vendors and other key departments. The specialist must ensure operational efficiency, compliance with internal policies, and global user satisfaction.

Main Responsibilities

1. Current and New Travel & Expense Management Tool

  • Coordinate testing, adjustments, and quality assurance during implementation.
  • Collaborate in the development of user manuals and procedural guides.
  • Participate in meetings with vendors and internal teams to align objectives and resolve technical issues.

2. User Support and Training

  • Provide first-level support to internal users of the travel and expense tool.
  • Resolve incidents and manage escalations with the IT support team when necessary.
  • Train users on efficient use of the tool and travel and expense policies.
  • Keep the knowledge base and FAQs up to date.
  • 3. Data Management and Reporting

  • Monitor and analyze tool usage, generating periodic reports to evaluate policy compliance and cost optimization.
  • Collaborate in the creation of financial reports and travel and expense audits.
  • 4. Communications Management

  • Social media publications.
  • Creation of the intranet.
  • Collaboration on website redesign.
  • 5. Event Management

  • Support in organizing company events, from small meetings in Madrid to international trade fairs.
  • Position Requirements

  • Technical Skills : - Experience in first-level technical support and incident resolution.
  • Proficiency in data analysis tools and report generation.
  • Languages : Advanced level of English and Spanish;
  • French is highly valued.

  • Education : Degree in Business Administration, Tourism & Events, or Communication & Marketing.
  • Interpersonal Skills : Effective communication, teamwork, problem-solving orientation, and strong attention to detail.
  • Software Knowledge : Proficiency in Microsoft Office.
