Swish Marbella is a leading luxury short-term rental brand with a curated portfolio of high-end villas and apartments. We are seeking an Operations Coordinator to ensure our homes are consistently guest-ready and maintained to the highest standards.
Role Purpose
The Operations Coordinator will oversee inspections, maintenance, and guest satisfaction processes, acting as the link between property owners, service providers, and the guest experience team.
Responsibilities
- Property Management & Inspections
Conduct regular property checks (pre-arrival, mid-stay, post-stay)
Identify and resolve maintenance, safety, or presentation issuesGuarantee that every home meets Swish’s luxury brand standardsMaintenance & RepairsManage preventive maintenance schedules (AC, pool, gardens, appliances)
Coordinate contractors and suppliers, ensuring quality and timelinessKeep accurate maintenance logs and handle urgent repairs swiftlyHousekeeping & LogisticsOversee housekeeping schedules and turnovers
Ensure immaculate cleaning, linen, and presentation standardsLiaise with cleaning and laundry teams to meet tight deadlinesGuest ExperienceEnsure properties exceed expectations on arrival
Act as operational support for any in-stay issuesMonitor guest feedback to continuously improve standardsDamage & Inventory ManagementConduct check-in / out inspections and manage damages
Track and replenish consumables and luxury amenitiesOperational Systems & ProcessesCreate SOPs, workflows, and checklists for efficiency
Update PMS / CRM with operational data and reportsEnsure compliance with safety regulations and brand standardsSupplier & Contractor ManagementMaintain strong vendor relationships (maintenance, linens, pool, gardens)
Negotiate rates and service agreements to ensure quality and cost efficiencyReporting & Continuous ImprovementDeliver regular reports on property condition, spend, and guest feedback
Suggest improvements to streamline operations and enhance satisfactionSkills & Experience
Proven experience in hospitality operations, property management, or luxury STRStrong organizational skills and attention to detailExperience managing housekeeping, maintenance, and suppliersProactive, solution-oriented, and calm under pressureExcellent communication in English (Spanish desirable)Driving license and flexibility to travel between properties in MarbellaPersonal Attributes
