Responsibilities
This position is an opportunity for a skilled professional to provide critical administrative support to the MQ Site Head / Site Lead Team and team members belonging to its organization. This position requires an exceptional team player who is proactive, organized, detail‐oriented with a strong sense of urgency to complete tasks.
Meeting Coordination :
- Proactively maintain daily calendars, initiate contact and establish good working relationships with others outside of the work group to maximize schedule coordination.
- Assist with organizing team meetings and related logistics
- Assist in the planning logistics by calendaring, identifying / scheduling conference rooms, setting up equipment, ordering materials and / or catering as needed.
Travel and Expenses :
Coordinate and arrange travel : transportation, hotel, rental car.Process expense reportsAdditional Support / Expectations :
Adapt to change quickly and to the tools for streamlining administrative work.Provide direction and guidance regarding to the administrative tasks that team members need to develop on their own (e.g., calendaring, travel, expense reporting, etc.).Attend team meetings as assigned or directed.Create and edit documents, spreadsheets and presentations.Create and maintain group lists, distribution lists, spreadsheets, databases and collaboration sites.Assist with administrative tasks in pre‐boarding and onboarding of new employees to the area as requestedCreate Purchase Orders (POs) for the TeamIdentify innovative techniques to increase productivity across the team.Handle additional administrative support or special projects as assigned by the Manager.Help and support the Alcobendas MQ Site with the internal communication (Monthly newsletter, Internal´s TV…)Strong connection with local AA and Global MQ AAMinimum requirements
Higher professional education on international Secretaryship, Administration and Finance, Assistant Director.At least 5 years of experience in a professional work environment or in administrative / office management position.Spanish Bilingual. English level C1 or above.Additional Skills / Preferences
