Working closely with the General Manager – Spain, and Senior Finance Accounting & Administration Manager, the Administrative Assistant will provide a variety of administrative duties such as office arrangement whilst managing changing priorities. You must be able to always maintain the highest level of confidentiality and creditability, humility, honesty , effort and passion in our Madrid office.
Duties and Responsibilities
- To be in charge of all office needs, including ordering office supplies, welcoming and coordinating visitors, organise and respond to correspondence, regularly organise the storage room
- To prepare administrative purchase orders and good receipts in SAP.
- Support with the control and monitoring of administration department costs
- Organise and coordinate Office maintenance tasks
- To assist visitors during work in the office, particularly in reserving meeting rooms, water / coffee services, etc
- Organise internal colleague events that take place at the Madrid office.
- Provide administrative support for other departments as needed and as time permits.
- To follow up and revise Expenses Reports.
- Perform such other duties as may be required from time to time by the company.
Experience and Skills Required
Vocational or Graduate level education, with proven experience in a similar Administrative role.Fluency in business EnglishExperienced in working with Microsoft OfficeKnowledge of SAP, Concur and Coupa systems would be beneficialExcellent communication and organisational skillsAbility to work at pace and prioritise effectively
