Job Title : Office Manager
The role of the Office Manager is a multifaceted one, requiring a professional and highly organized individual to support the daily operations of our institution.
- Receptionist Duties :
- Provide a warm welcome to visitors, aligned with our values and prioritizing customer service.
- Maintain a professional appearance at all times as befits the first point of contact for the school.
- Perform standard receptionist duties, including visitor registration aligned with the school's safeguarding processes.
- Assist with compliance regarding fire drill registers.
- Telephone, email and face-to-face assistance to students and families.
- Provide general support to visitors.
- Assist with the management of students' mobile phones.
- Manage deliveries for the school.
- Liaise with external providers for school events and trips.
- Handle enquiries from the general public regarding admissions.
- Managing school transport logistics.
- Headteacher's PA Duties :
- Organise and schedule meetings and appointments.
- Take minutes in meetings.
- Assist the Headteacher in the organisation of school events.
- Sending weekly communications to families and staff.
- Administrative management tasks related to the daily operation of the centre, such as monitoring and reporting on daily attendance.
- Assisting with publications, such as the parent and staff handbook, and school policies.
- Assist with the beginning and the end of term e.g. student and staff inductions.
- Monitoring and reporting incidents related to students, staff, and parents.
- Undertake PA duties, including managing the Head's diary, refreshments, handling emails and drafting newsletters.
- Assisting with the school's MIS : data processing, analysis and entries.
- Assist with designing, processing and issuing students progress reports.
- Assist the Exams officer and Deputy Head in the preparation for public examinations.
- Occasional late evenings across the year for major school events such as parents evenings, open events etc.
- Office Manager Duties :
- Assisting with printing, and photocopying.
- Order and manage stock, take inventory and secure quotes from providers.
- Taking responsibility for first aid training ensuring compliance with safety regulations.
- Provide full support for document management in electronic document management systems (scanning, uploading, and sending requests).
- Maintain a calm and organised office environment.
