ARE YOU UP FOR THE CHALLENGE?

We invite you to join our Brussels team as a Bid Manager for EU Institutions.

WHAT WILL YOU DO IN YOUR DAY-TO-DAY?

  • Provide administrative support within the Bidding Department.
  • Manage the full tendering process for EU-funded projects and public procurement bids, ensuring compliance.
  • Analyze Invitation to Bid (ITB) documents for adherence to client specifications and regulations.
  • Prepare Bid Plans and review technical and administrative documentation for completeness.
  • Handle client communications, clarifying queries during proposal preparation.
  • Coordinate with internal teams and external partners to gather documentation, ensuring EU procurement compliance.
  • Develop, review, and submit competitive proposals within deadlines.
  • Identify and analyze new tender opportunities on platforms like TED, preparing summaries for evaluation.
  • Maintain records of submissions, contracts, and project updates.
  • Manage administrative documents, ensuring accuracy and accessibility.
  • Monitor legal and administrative certification expirations, coordinating renewals.
  • Complete required administrative forms per bid guidelines.
  • Ensure all documents meet tender specifications and are submitted on time, including uploads.
  • Stay updated on EU procurement regulations to improve bid success rates.

Required Experience :

  • Extensive global tender research experience using platforms such as eTenders, GlobalTenders, EU Funding & Tenders Portal, TED Europa.
  • Proficiency in reviewing and editing contract references and CVs per tender requirements.
  • Understanding of Framework Contracts (FWC) and tendering procedures.
  • Knowledge of procurement processes, eligibility, evaluation, and compliance.
  • Experience with legal and administrative certifications in tenders.
  • Ability to analyze tender documents, prepare responses, and ensure compliance with framework agreements.
  • Knowledge of legal and financial aspects of procurement in public and private sectors.
  • Experience managing online bid submissions and tender portals.
  • Profile with 2-3 years of relevant experience.
  • Skills in EU procurement, document preparation, contract, and risk management.
  • Stakeholder engagement and communication skills (internal and external).
  • Ability to work effectively in multicultural, multidisciplinary teams.
  • Technical Skills :

  • Microsoft Office Suite : Excel, Word, PowerPoint, SharePoint
  • Document Management Tools : Adobe Acrobat, DocuSign
  • Language :

    Good communication skills in English, both verbal and written (level B2)
