We are seeking a highly organized and proactive Executive Assistant to provide strategic support to our CEO. The selected candidate will play a key role in managing the executive calendar, coordinating meetings, handling confidential information, and supporting decision-making processes.

Location : Madrid – 100% on-site with availability to travel.

MAIN RESPONSIBILITIES

  • Provide administrative and organizational support to the CEO.
  • Coordinate logistics for domestic and international travel, as well as the planning and execution of events and trade shows in which the company participates.
  • Ensure accurate and clear multilingual communication across all correspondence and documentation, acting as a liaison between executives and stakeholders to ensure effective communication.
  • Screen phone calls, manage meeting requests, and facilitate interdepartmental communication as needed.
  • Support the planning and execution of special projects assigned by the CEO and perform additional administrative tasks such as preparing reports and presentations.
  • Manage and monitor company expenses and invoices.

REQUIREMENTS

  • University degree in Secretarial Studies, Business Administration, Finance, or a related field.
  • At least 5 years of experience in a similar role, supporting executive-level positions.
  • Very high level of English; proficiency in French is a strong plus.
  • Experience working in an international environment.
  • Flexibility, availability, confidentiality, and resilience are essential qualities.
