Position Overview :
We are seeking a proactive and highly organized Office Manager to oversee the smooth operation of our Madrid office while providing key support to the commercial team. This is a dynamic role that combines day-to-day office administration with direct involvement in supporting sales coordination and customer service activities.
Key Responsibilities :
Office Management :
- Manage daily office operations and ensure a professional and well-functioning work environment
- Coordinate with external vendors, suppliers, and service providers
- Oversee office supplies, maintenance, and facility management
- Organize team events, internal meetings, and travel arrangements
- Act as the point of contact for administrative queries from internal staff and external stakeholders
Sales Support :
Assist the sales team with administrative tasks such as preparing quotes, processing orders, and managing customer databasesSupport the coordination of customer meetings, demos, and conferencesLiaise with logistics and operations to ensure smooth order fulfillmentSupport preparation of sales and marketing materials as neededQualifications and Experience :
Proven experience as an Office Manager, Sales Administrator, or in a similar administrative roleStrong organizational and multitasking skills with excellent attention to detailProficiency in Microsoft Office Suite and experience with ERP systems (e.g. Odoo)Excellent written and verbal communication skills in both Spanish and EnglishExperience supporting sales teams or commercial functions is highly desirableBachelor’s degree in Business Administration, Office Management, or related field preferred
